As a Contract Renewal Specialist III this position is responsible for maintaining the data integrity of the customer install base and Maintenance contracts for UKG customers within respective territory. Providing support to Contract Renewal Rep, Sales team, customers and various departments within the organization through the execution of necessary duties (i.e. quote generation, consolidations, credit & rebills, etc…). Ensuring consistent, accurate and timely communication of information relating to customer maintenance contracts/install base. Ensuring all contract renewals/invoicing are accurate, within company policy and generated on time meeting monthly forecast, revenue recognition and invoicing schedule.

Principal Responsibilities:

• Monitoring daily reports, ensuring customer contracts and install base are updated in a timely manner to accurately reflect their hardware and software.
• Ensure all Maintenance Renewal Contracts are processed accurately, efficiently and in a timely manner for monthly revenue recognition and invoicing schedule. – Contract Transactions include: Core Renewals, Service Only, Reinstatements and Rebills.
• Renewal Contracts are reviewed and submitted in a timely manner, ensuring contract accurately reflects customer data, sales credits, all products to be covered, correct versions, coverage dates, consolidations, etc…
• Work closely with Customer Renewal Rep to engage them in the renewal process, ensuring the system accurately reflects a customer’s products/contract status as well as strive to obtain acknowledgement of renewal contract (i.e. Purchase order, Signed quote, etc…) whenever possible.
• Process all contract termination/credit requests in a timely manner
• Handle all incoming and outgoing field questions/issues from Customers, Sales force and other departments within UKG regarding customer maintenance contracts. Resolve issues and/or decide whether upper management needs to be involved in final resolution. Assure timely and accurate follow-up on all issues. Includes but no limited to:
o Quote generation
o Issue/question on renewal contract (i.e. product, pricing, coverage dates, etc…)
o Upgrade/Contract information
o Reports
o Customer Credit issues
• Work closely with various departments to ensure information within Oracle Service Contracts/Install Base is updated accurately and timely (i.e. Credit & Collections, KGS, Corporate Contracts team, etc…).
• Assist other Maintenance Contract Administrators as needed to meet monthly revenue and invoicing forecast.
• Support the implementation of upgrades and testing to the various financial systems.

Qualifications

Preferred Qualifications:
• Three years business/customer service experience within a hi-tech environment
• Working knowledge of maintenance contracts, a plus and/or Experience working with service organizations
• Fluency in Excel and experience with other technologies including Oracle and Microsoft Office experience preferred
• Effective oral and written communication skills are essential
• Outstanding interpersonal skills and strong attention to detail
• Excellent problem solving and decision-making skills
• Ability to exercise initiative and sound judgment in a variety of situations
