Description :

The Legal Assistant II will provide operational support, to the Contracts Administration Team. The Contracts Administration Team is part of the Legal Team and supports our Sales Team. This role requires an enthusiastic, proactive individual, with outstanding communication, and the ability to deliver incredible customer service, organization, collaboration and leadership. The position will include more complex assignments or projects requiring creativity, independent action, judgment, initiative and a proactive approach to work.

Job Responsibilities:

Meeting management to include invitations, live meeting, video conferencing, recording, refreshments, and travel.
Communication with senior level executives
Functional liaison with Facilities, IT, Procurement
Support calendar management, travel arrangements, and procurement needs
Support the Legal SharePoint Site
Manage any team events
Send office communications
Send and assist team members with sending out documents via DocuSign
This person is flexible to work on “ad hoc” projects and other responsibilities within the legal department
Suggest and implement administrative operational improvements to drive higher organizational efficiency
Provide excellent administrative support for the Legal organization
Senior level administrative support for VP and Director level staff to include:
Anticipating and proactively addressing expectations/issues/needs of the leadership team, allow them to use their time most efficiently
Attending meetings, capturing key information points (minutes & action items), distributing to stakeholders, supporting the completion of action items based on commitment dates
Creating presentations, charts, graphs as outlined by manager but adding value in terms of personal input on content and style



Able to work in the office located in Weston Florida M-F 8:30am - 5:30pm
Able to work additional hours during busy times of the year
College degree preferred but not required
At least two years of experience in a corporate environment
Expert level Microsoft Office skills – Excel, Power Point, and MS office
Strong analytical, organizational, and presentation skills
Excellent written and verbal skills
Business acumen
Ability to multi task and strong attention to detail
Extremely organized
Approachable, friendly and professional demeanor approachable and responsive
