Description & Qualifications


We are looking for an Office Manager to support our German employees (approximately 75 people). This role will be based in our office in Stuttgart.

Responsibilities as an Office Manage

- Set-up of meeting rooms (IT, Organisation, Catering).
- Manage the cleaning and other staff via outsourced/in-house resources.
- Purchase order raising, tracking and Invoicing in a timely manner.
- Vendor management to ensure timely office services and supplies are being arranged.
- Work in sync with EMEA locations and coordinate to have similar office procedures and policies in Germany office.
- Manage Office Couriers.
- Resolve issues with the facilities, such as needed maintenance or emergency repairs by contacting the appropriate contractor/service provider.
- Respond to employee queries and manage incoming tickets via tools like Service Now/iOffice in a timely bound fashion.
- Assist in managing Health & Safety requirements as per local norms.
- Maintain standard policies in alignment with global and implement in the office.
- Assist in managing/implementation of office improvements and other projects as and when needed.
- Suggest improvements to enhance office environment.
- Maintain a sufficient inventory of various supplies and order new equipment as needed such as stationary, office supplies, etc.

Responsibilities as an Assistant

- Support the Marketing and Sales teams, especially for tenders and for the organisation of events
- Support the Finance and HR Teams in various tasks (Internal and external communication, preparation and update of Excel Worksheets)
- Responsibilities are not limited to those mentioned above


· Strong organizational and planning skills
· Proficiency in MS Office (MS Excel and MS Outlook, in particular)
· Outstanding communication skills and sense of initiative
· Very good knowledge of German and English language, spoken and written
· You are dynamic and curious. You are able to work on your own. You are not afraid to take responsibilities in your job.
· You are used to work with numbers and know how to be discrete.
