We're looking for a Receptionist/Office Coordinator to become a valued member of our team.

As the primary point of contact for visitors and clients, you'll play a critical role in ensuring the seamless operation of our office. Reporting to the Senior Manager, Workplace Services, you'll be responsible for providing essential administrative support to the team

You will be located in Hawthorn, Victoria, where you'll enjoy a brand new, modern, open-plan office with convenient access to parking, public transportation, a variety of dining options, cafes, and fitness facilities.

In this role you will be responsible for:

• Welcome and direct visitors and clients, answer phone calls and promptly respond to emails
• Organise and maintain room schedules and coordinate meetings
• Ensure the office, meeting rooms, and kitchen areas are spotless and fully stocked
• Place orders for general office supplies and ensure their timely delivery
• Oversee the management of security access cards
• Process incoming and outgoing mail and packages efficiently and accurately
• Collaborate with teams to fulfill onsite meeting and event requests, manage room set-ups, catering needs, and event supplies
• Conduct office orientation sessions for new UKG employees, acquainting them with the office layout and amenities
• Support shipping and receiving as needed
• Perform additional duties as assigned to ensure the efficient operation of the office.

Qualifications

To be successful in the role you will bring:

• Demonstrated experience in a receptionist or office coordinator role
• Exceptional communication and organizational skills
• Proficiency in Microsoft Office. Experience in ServiceNow and/or iOffice are an advantage.
• Friendly, approachable, and professional attitude
• Ability to work both independently and as part of a team
• Outstanding customer service, interpersonal, and communication skills
• Highly organised, with attention to detail
• Physical capability to lift objects weighing between 10-15kgs
